1. Required Documentation

To confirm your reservation, a 50% advance payment of the total cost is required, while the remaining 50% must be paid on the start date of your tour or tourist package.

It is essential to present a readable copy of the passport with validity exceeding 6 months, as well as the migration stamp proving the date of entry into the country. INCA'S EXPEDITION will not assume any responsibility for expenses derived from inadequate documentation, expired documents, or absence of travel documents.

For foreigners with residence exceeding 60 days, a surcharge of 18% (IGV) will be applied to the value of the contracted program.

Family groups that include minors must carry their passport or DNI. In case of traveling with only one of the parents or a legal representative, it will be essential to present a notarized permission authorizing the travel. If payment has been made but this documentation is not presented, the service will not be provided and a 100% penalty will be applied.

Discounts for university students on the Inca Trail and Machu Picchu require the presentation of the undergraduate university ID for students under 25 years of age, issued by the university, containing: institution information, student's personal data, photograph, and validity date not exceeding one year from the date of entry to these attractions. The document must be sent scanned by email and carried on the day the tour begins.

2. Holidays

During holiday celebrations in the various destinations of Peru, such as Christmas, New Year, national holidays, Holy Week, Cusco festivities, among others, a surcharge will be applied according to the policies established by our providers.

3. Travel Insurance

Before starting any trip, we strongly recommend contracting travel insurance that covers accidents, medical expenses, and emergency repatriation, including rescue or air ambulance. Likewise, we suggest that the policy includes tour cancellations and luggage loss. You can send us a scanned copy of your policy to our email address or provide a copy to a trusted family member or friend.

4. Domestic Flight Reservations

Once air tickets are issued, they are non-refundable and non-transferable, and can only be rescheduled subject to availability and application of corresponding penalties.

5. Reservations

To make a reservation, the company requires the client to pay 50% of the total tour amount through our authorized payment methods, which will be provided by the sales agent. The remaining 50% must be paid in cash on the first day of arrival at the selected destination, in US dollars, to the assigned personnel.

For reservation confirmation, the following information of each passenger must be provided: a copy of the passport showing Full Name, Passport Number, Nationality, Age, Gender, and the page where the entry stamp to Peru appears.

It is recommended to inform about any type of allergies, medical conditions, particular characteristics of the passenger, dietary preferences, among others.

Once the prepayment is made, our sales agent will send an email with the confirmation of the reservation of the selected tour and/or tourist package. This email constitutes a guarantee document of your reservation. After receiving the confirmation, the client must verify its content in detail and reply to the same email.

If your reservation includes overnight stays in hotels, the confirmation of accommodations is subject to availability. In case there is no availability in the hotel specified in the confirmation email, the client will be provided with another establishment of similar category and price. Likewise, early check-in and late check-out will be subject to an additional charge according to hotel policies.

To reserve packages that include a visit to the MACHUPICCHU Sanctuary, the company reserves the right to accept last-minute reservations or when entry quotas have been exhausted. In case of receiving the reservation, the company will expressly indicate the special conditions of said reservation, including, if applicable, special schedules. These conditions must be mutually agreed with the client and will be documented by email.

6. Cancellations, Refunds and Reimbursement

Tour reservation (1, 2 and 3 days)

If a cancellation request is received 15 days before your trip or 5 days or more after the confirmation is sent, it will be subject to a penalty for operational expenses of 30% of the tour price.

If a cancellation request is received 72 hours before your tour, it will be subject to a penalty for operational expenses of 50% of the payment made, which will not be refundable.

The refund will be made through the same payment method used, within the next 15 days. The penalty must be considered, in addition to the financial expenses associated with the cost of flight tickets, bank transfer, credit card commission, and any other expense and/or cost associated with the refund.

Tourist package reservations

If a tourist package cancellation request is received 45 days before your trip or 5 days or more after the confirmation is sent, it will be subject to a penalty for operational expenses of 30% of the package price, in addition to the financial expenses associated with the cost of flight tickets, bank transfer, credit card commission, and any other expense and/or cost associated with the refund.

If a tourist package cancellation request is received only 15 days or 72 hours before your trip, it will have a 100% penalty.

If in a group the cancellation of a passenger is requested and it is desired to replace with another reservation, this condition will not be applicable.

In case of having reserved related services such as: Hotels, Flights, Buses, Trains; you must adapt to the conditions and rules that those companies establish, as mentioned above. This rule is also applicable for tourist places with high visitor traffic, such as: Inca Trail.

Likewise, no refund or reimbursement will be granted for the absence of the tourist on the tour, loss of flights due to passenger delay or cancellation during the trip. There will be no refund or return for unused portions of tourist packages or stays.

In case of cancellation of tourist packages that include hotel, bus and/or train services already issued, no refund or reimbursement will be granted for these services. On the contrary, for payments made with card, a 10% penalty will be included in all cases.

Certain services may be interrupted or canceled due to adverse weather conditions, force majeure, disturbances, or other circumstances beyond the control of hotels, airlines, providers or the agency itself. No refund or reimbursement will be granted as a result of these interruptions or cancellations beyond our control.

During the high season, our company reserves the right to modify cancellation policies if our providers apply penalties different from those listed above, in accordance with Article 1277 of the current Peruvian Civil Code.

Any modification or cancellation must have the acceptance of our Reservations Department (in writing). Otherwise, it will not be considered valid.

No Show

Any passenger who does not show up for a scheduled and reserved service, without prior cancellation and acceptance, will be considered as NO SHOW, and 100% of the rate will be charged without right to refunds or claims.

Operational Expenses of Tickets and Trains

In case of tours to Machu Picchu, the entrances to Wayna Picchu, Machupichu Mountain and Machu Picchu have a complete penalty, so there is no refund of these expenses, according to policies established by the Ministry of Culture.

Additionally, train entrances have a penalty of 20% of the original ticket value, according to policies established by INCA RAIL and PERU RAIL.

7. Pickup Times

The pickup time will be determined in the program; the tourist must be ready and waiting in the hotel lobby. If not ready at the established time, the agency will not be responsible for delays and/or abandonment by the transport, as it is a pre-established time. If the tourist is in a state of drunkenness, the tour will be canceled without right to refund or rescheduling.

8. Hotels

The company reserves the right to substitute hotels of the same category in the tourist packages it offers, because INCA'S EXPEDITION is subject to the availability of hotels in Peru, in accordance with Article 1277 of the current Peruvian Civil Code.

In case of early check-in and late check-out, an additional value will be applied according to hotel policies.

9. Inca Trail, Huayna Picchu Mountain and/or Machu Picchu Mountain

These services are classified within the Adventure tourism sector and present government restrictions due to their maintenance, protection, and conservation. Therefore, the reservation must be made well in advance and prior consultation of space availability, as these services have very high demand and a limit of available quotas.

10. Updating Information on Our Website

The company reserves the right to modify any information contained on our website.

11. Losses and/or Thefts of Belongings

During the development of your program, INCA'S EXPEDITION will not be responsible for the loss of belongings, thefts, or damage to luggage. To avoid these inconveniences, we strongly urge you to maintain constant attention to all your belongings.

12. Flights / Delays

We cannot assume any responsibility for cancellations or delays in your flights, if these are due to adverse weather conditions, airline rescheduling, decisions of airport authorities and/or actions of air traffic controllers, mechanical failures, or industrial actions.

Our company will strive to solve your travel itinerary, seeking to resolve any inconvenience so that nothing is affected by air delays.

The Client must understand and be flexible if, due to an air delay, it is not possible to solve certain problems.

13. Policy on children

In all our programs, unless otherwise indicated, the maximum age to consider a passenger as a child is 11 years and 11 months. Those over 12 years will be considered adults and will be subject to the corresponding rates.

14. Privacy Policy for Use of Personal Data

Objective of this policy

The purpose of this policy is to inform the way INCA'S EXPEDITION protects and processes the personal data of clients, passengers, providers, tourist operators, travel agencies, and collaborators, from their collection through different channels, whether physical or digital, for the duly communicated purposes.

General Information

INCA'S EXPEDITION is a company that offers individual and collective trips, land trips, organization of tours or excursions, accommodation management, and any other activity directly related to tourism. For this purpose, it collects, uses, administers, transfers, stores, and processes information that can be associated with natural persons in the development of its activities, such as: name, identity document, telephone number, email address, country of residence, among others, through various physical and digital formats.

The information collected and stored includes basic data entered through registration, contact, or other similar forms; such as, for example, name, DNI, passport, gender, age, telephone number, email address, country of residence, among others, data collected through the various channels that the company manages, necessary for the provision of INCA'S EXPEDITION tourist services. In any case, users will be able to identify which data are essential for the correct provision of the service and which are of an accessory nature before sending their personal information.

The user will be solely responsible for the veracity and accuracy of the data provided. Only users over 18 years of age and/or those with sufficient legal capacity may be users. Likewise, the user will be solely responsible for third-party data that they provide, as well as for guaranteeing that they have been informed about this Privacy Policy and have obtained their express consent.

INCA'S EXPEDITION, in accordance with Law No. 29733 - Personal Data Protection Law - and its Regulation No. 003-2013-JUS, I authorize and grant INCA'S EXPEDITION, indefinitely, my free, prior, express, unequivocal, and informed consent so that (by itself): Collects, processes or deletes, transfers or imports, exports my personal data, to prepare Databases, transfer them LINKED TO INCA'S EXPEDITION.

Purposes

Provide the requested service.

Inform about new services related to the acquired services.

Establish communication that allows providing information related to the service provided, for offers, promotions, advertising, alliances, among others, contests and content that may be of interest to the holder of INCA'S EXPEDITION and/or any other company that belongs to or may belong in the future to INCA'S EXPEDITION, domiciled or not in the country.

Evaluate the quality of the services provided.

Conduct customer satisfaction level, store and process my personal data for statistical and historical purposes for INCA'S EXPEDITION and/or related third parties and/or any other company that belongs to or that in the future may belong to INCA'S EXPEDITION.

Information to the user

If I do not give this consent, my information will only be used (processed) for the execution (development) and fulfillment of the service I contract.

I may revoke, at any time, my consent, communicating my decision in writing at any of the INCA'S EXPEDITION offices or through social networks, which will not affect the use of my data or the content of the Databases for the execution and fulfillment of the transaction I celebrate with you.

I may exercise my rights of access, rectification, cancellation, and opposition of my data according to current legislation.

Security and Conservation of personal data

INCA'S EXPEDITION complies with the legally required personal data protection measures and has adopted the reasonably enforceable measures according to current technical knowledge and good practices for the custody and management of information to avoid the loss, misuse, alteration, illegitimate intrusion, and theft of personal data provided by users. Likewise, the data collected from users such as photographs and videos will only be used for tour promotion, marketing, advertising, and market research.

The conservation periods of users' personal data will be until the user requests the cancellation of their use by INCA'S EXPEDITION. Likewise, users understand and accept that certain personal data must be conserved by INCA'S EXPEDITION due to legal regulations and according to deadlines established in legislation.

15. Modifications in the Policy

INCA'S EXPEDITION may make changes and update this policy based on news or legislative, jurisprudential requirements and/or institutional needs, among others; therefore, it is recommended that users review this policy regularly and/or each time they access the company's website.
